Experience the USA
The USA is the trip nobody declines. New York is eight hours direct from Stockholm with no connection, and the conference infrastructure is as good as anywhere in the world because the city hosts meetings constantly. Miami is the winter answer – warm when Sweden is at its darkest, with hotels on the beach that have convention floors built in. Both cost money rather than effort.

Clients who choose Way

Conference in the USA
A conference in the USA has more paperwork behind it than a European trip, and none of it should reach the group. Flights, ESTA, transfers, hotels, meeting venues, dinners and activities – we handle it and we check every participant is cleared to travel well before departure. Address decides the day in New York, and the transfer from JFK or Newark takes anywhere from 45 to 75 minutes, so we build that into the schedule rather than hope.
FAQ
What's included in a Way trip?
We handle the whole thing: flights, accommodation, meeting venue, activities, transfers and project management, with on-site support during the trip.
Which destinations do you work with in the USA?
New York and Miami are the two we run most, and they suit opposite times of year. But we work across the USA – Los Angeles and San Francisco on the west coast, Chicago for a serious conference city, and Boston and Washington when the trip has a business reason beyond the meeting itself.
What does a conference trip to the USA cost?
Prices start at around SEK 18,000 per person and depend on group size, accommodation, season and how much programme you want. New York is expensive year round and the hotel rate moves the total more than anything else.
How long is the flight to the USA?
About eight hours direct to New York and around twelve to Miami with one connection. The six-hour time difference works in your favour flying out – leave in the morning and the group still has an evening. Coming home takes a day to recover from, so avoid scheduling anything the morning after.
When is the best time for a conference in the USA?
It depends which coast. New York is best from April to June and September to November, since summer is humid and winter is genuinely cold. Miami is the opposite – November to April, which is the dry season and avoids the summer heat and hurricane season entirely.
